A useful landscaping estimate starts with measured scope and direct cost, adds a documented method for overhead recovery, and applies profit margin last. Do not use one guessed markup to stand in for labor burden, material quantity, overhead, and profit.

This is a desk-researched template, not an estimate for a real property and not a test of estimating software. The linked National Association of Landscape Professionals (NALP), LMN by Granum, and Jobber pages were opened and checked on August 10, 2026. The example dollar amounts and percentages below are editable hypothetical assumptions, not market prices, recommended markups, or industry benchmarks.
How should a landscaping estimate be calculated?
Calculate the estimate in this order:
- define and measure the scope;
- convert measurements into labor hours and material quantities;
- calculate direct labor, material, equipment, subcontractor, delivery, and disposal cost;
- recover overhead with the company’s budget-derived method;
- apply the target profit margin;
- add any applicable customer tax using current local rules; and
- turn the internal calculation into a clear customer-facing scope and price.
NALP’s estimating guidance says production rates should come from the company’s equipment and average crew capability. Loading, unloading, customer conversations, and other non-production work still use time. Completed jobs should then be reviewed so future rates can be corrected.
That makes measurement and production rate the start of the worksheet. A markup cannot repair an estimate that omitted six labor hours or the delivery charge. What is included in the downloadable template?
Each input row has these fields:

The CSV keeps these values visible because they answer different questions. How many units will be consumed? What will those units cost? How much overhead must this job recover? What selling price reaches the chosen margin?
Jobber’s current template guidance supports the customer-facing half of the process: business and client details, an estimate number, detailed scope, labor and material quantities, optional work, exclusions, validity, tax where applicable, and terms. The download is the internal cost worksheet. Create a separate customer document that includes the approved scope without exposing private payroll or internal cost data.
Which markup method should a small landscaping company use?
There is no single percentage that is right for every company or work type. Use the highest-ranked method that the business can support with its own records.

LMN by Granum’s current budgeting guide documents multiple overhead recovery across labor, equipment, materials, and subcontractors, field-labor-hour recovery, and a single factor across direct costs. Those are alternative allocation methods, not percentages to copy. The correct inputs come from the company’s budget and accounting treatment.
An independent Lawn & Landscape analysis reaches the same practical warning: a single factor applied to all direct costs can misprice jobs with different durations and cost mixes. A material-heavy installation and a labor-heavy project can have equal direct cost while consuming very different amounts of time and office support. The download therefore allows a separate overhead markup for each row, but it does not decide those percentages.
How do labor burden and labor markup differ?
Labor burden is part of direct labor cost. Depending on the company’s location and accounting policy, it may include employer payroll taxes, workers’ compensation, unemployment costs, and other employment costs. Determine the included accounts with the company’s bookkeeper or accountant and keep the treatment consistent. Do not use a generic percentage from this article.
The labor formula in the download is:

labor hours × base cost per hour × (1 + labor burden percentage)
An overhead markup may then be applied to that burdened labor cost under the company’s recovery method. Profit comes after direct cost and recovered overhead.
NALP’s current financial guidance offers another method for checking the input: total the annual costs paid for a field role and divide by the hours that role actually performs billable work. Paid hours and billable hours are not automatically equal. Whichever method the company adopts, document it so the same payroll cost is not included once in labor burden and again in overhead.
Which labor hours belong in the estimate?
Include all work required by the scope, not only tool-on-material time:
- mobilization, loading, and unloading assigned to the job;
- site setup and protection;
- measured production work;
- cleanup and disposal handling;
- expected customer or site-contact time;
- travel where the company’s pricing method assigns it to the job; and
- crew-lead, specialist, or supervision time that is estimated directly.
Do not hide uncertain labor inside a higher profit percentage. Record the assumption, identify what would change it, and compare the estimate with actual hours after completion.
How should material cost and material markup be separated?
Start with the physical requirement:
estimated material quantity =
measured quantity × (1 + documented quantity allowance)
Then calculate direct material cost:
direct material cost =
estimated material quantity × current delivered unit cost
The quantity allowance is not a default waste percentage. It should reflect the material, installation pattern, site conditions, packaging, and takeoff method. Put delivery, pallets, disposal, vendor tax, or other costs on their own rows when that makes them easier to verify. If tax is already in the supplier cost, do not add it again.
After direct material cost is known, apply only the overhead recovery assigned by the company’s model. A high material markup does not prove that overhead or profit is covered, and a low material markup does not prove that a price is competitive. The rest of the job still matters.
LMN by Granum’s current documentation is useful here because it keeps material tax, material forecast, overhead recovery, and profit as separate settings. It also warns against adding material tax in the budget when it is already included in the accounting totals. The same anti-duplication check belongs in a spreadsheet.
How is target margin converted into a selling price?
Markup and margin use different denominators:
markup percentage = (selling price - cost) ÷ cost
margin percentage = (selling price - cost) ÷ selling price
If the target is a margin, use:
selling price =
(direct cost + overhead recovery) ÷ (1 - target margin)
Adding 20% to cost does not produce a 20% margin. A cost of $100 marked up by 20% sells for $120, leaving $20. That $20 is 16.67% of the $120 selling price. NALP’s markup-and-margin guidance uses the same distinction and says there is no one markup amount for every company.
Do not enter 100% in the margin field. The formula would divide by zero. The
blank template rows suppress a selling price when the margin is 100% or more,
but the estimator should also reject the input as invalid.
How does the worked example calculate the price?
The first five rows in the download model a hypothetical bed-refresh job. They are synthetic arithmetic inputs only. They do not represent a supplier quote, crew wage, expected waste factor, or recommended margin.

Cost plus overhead is $1,739.18. Dividing that by 0.85 produces $2,046.10
after rounding. The difference, $306.91, is 15% of the unrounded selling price.
This example shows the formula, not what a bed-refresh job should cost. Before using the sheet, replace all five example rows with current inputs and decide how customer-facing rounding will be handled.
What must be verified before the estimate is sent?
Use this acceptance check:

NALP notes that a spreadsheet can improve consistency, while software still depends on the company’s costs and production rates.
When is the template ready to become a reusable price book?
Promote a line item only after several completed jobs show that its scope, production rate, crew type, material quantity, and cost treatment are stable. Store:
- the unit definition and scope boundary;
- the source and checked date for each cost;
- the production-rate evidence;
- the burden and overhead budget version;
- the estimator and reviewer;
- the estimated-versus-actual result; and
- the reason for each revision.
Keep old approved estimates unchanged when the price book is updated. Future estimates should use the new rate; historical documents should preserve what the customer approved.
The template is working when two estimators can use the same measured scope and current inputs, explain every cost and recovery step, and reach the same unrounded answer. The spreadsheet is only the container. The evidence behind each cell is the estimating system.

How do I calculate labor cost in the template?

Is material waste the same as material markup?

What is the difference between markup and margin?
Markup is measured against cost; margin is measured against selling price. To target a 20% margin on cost plus overhead, divide that amount by 0.80 rather than multiplying it by 1.20.
Can I send the downloaded worksheet directly to a customer?
Not safely. First replace the synthetic assumptions, verify formulas and scope, apply current tax and contract requirements, decide which internal cost fields to hide, and create a customer-facing estimate or proposal.
