Commercial landscaping site audit software should turn a property walk into four linked records: the criterion inspected, the evidence observed, the action assigned, and the resolution verified. Start from the current contract and an approved quality standard, inspect by property zone, then route service corrections separately from enhancement opportunities. A photo gallery or GPS visit log is not a complete audit.

This is a desk-researched workflow, not a hands-on review of any product. The product pages and landscape trade guidance were opened and checked on August 1, 2026. Vendor pages establish what their products say they can do; they do not establish how a particular account, integration, device, or crew will perform.
What is the difference between a site audit and proof of service?
Proof of service records that a visit or task occurred. A site audit evaluates conditions or completed work against defined criteria. A corrective work order assigns an exception. An enhancement opportunity proposes work outside the current scope.
Those records can link to one another, but they should not be treated as interchangeable.

NALP’s proof-of-service reporting examples include time, material use, tasks, observations, date and time, photos, videos, location, and submitting person. Its risk-management guidance recommends recording who, what, when, where, and how, and standardizing the collection process. That makes a strong evidence base, but a location stamp still does not identify the contract criterion or show whether it passed.
The distinction protects both operations and customer communication. A missed contract item belongs in correction, not sales. A drainage improvement outside the maintenance scope may belong in an enhancement record, but the current contract must support that classification.
Which software approach should a company rank first?
Rank the deployment pattern against the company’s existing source of truth, not the polish of a sample report.

Current vendor documentation illustrates the first two patterns. Aspire says PropertyIntel Reference Maps can hold GPS-pinned notes, severity indicators, photos, descriptions, and tags. Its product page lists a read-only share link, branded PDF condition report, and PDF, PNG, and XLSX exports. Aspire’s June 2025 release also documents map pins grouped as maintenance issues or enhancement opportunities and connections from a pin to a project.
SiteRecon says its Plato app attaches field photos and videos to a property record with GPS location, timestamp, user, and map position. Its site-audit page also describes photo markup, zone-based observations, custom checklists, and reports built from photos, notes, and markups.
These are capability examples, not a product ranking. Neither vendor page proves weak-signal recovery, role isolation, complete exports, or an integration’s behavior in the reader’s account. Ask the vendor to demonstrate those paths with controlled records.
How should the inspection standard be prepared?
Do not begin by copying a generic 100-item checklist. Start with the current signed scope, approved change orders, property plan, service schedule, customer communication rules, and the company’s documented quality standards.
NALP’s current quality guidance says standards should align with customer expectations and company priorities, and that responsibility for execution must be assigned. It recommends regular site audits instead of assuming one training session will preserve the standard.
Convert the source material into observable criteria:

Avoid importing legal, horticultural, accessibility, chemical, or safety standards that the company is not qualified or contracted to evaluate. NALP’s risk-management article includes a lawyer’s warning that broad contractual monitoring and inspection duties can expand exposure. Have counsel and the appropriate technical professionals review contract language and regulated or safety-critical criteria.
Version each criterion. The audit row should preserve the exact standard used on the inspection date, not silently inherit today’s edited checklist.
What data model keeps the audit reconstructable?
Use one row per criterion per audit. Keep media as linked files with stable references rather than inserting an unlabeled group of photos into a report.
The downloadable CSV separates these groups:
- Audit identity: audit ID, property ID, audit type, local date, and auditor user ID.
- Location: zone ID and zone name. A label such as “north bed at loading entrance” is more useful than “front.”
- Standard: criterion ID, criterion text, and the contract, work order, or approved quality-standard reference.
- Result: scope status, result, completeness score, priority, and factual observation.
- Evidence: media reference, capture time with time zone, location-data status, and source record URL.
- Correction: issue ID, owner, target date, status, resolution evidence, verifier, and verification time.
- Enhancement: candidate state and the separate estimate, project, or opportunity record ID.
- Disclosure and portability: client visibility, report-sent time, and export-check time.
Use internal IDs as well as display names. Property names, zones, contacts, and employees can change. A stable source ID preserves the link.
Do not put gate codes, alarm details, private resident information, payment data, or unrelated people and vehicles into audit media. Define who can view and download exact property maps, location history, employee identifiers, and customer reports.
How should a field audit be captured?
Can the auditor confirm the right property and standard?
Before recording a result, the auditor should confirm:
- property ID and service address;
- current site map and named zones;
- audit type and checklist version;
- contract or approved-standard reference;
- assigned field role and client-visibility setting; and
- whether the application is online, offline, or waiting to synchronize.
If the app cannot show the standard version or source, the field user cannot know whether the checklist matches the current scope.
What makes an observation factual?
Write what is visible and where it is visible. Keep diagnosis and remedy in separate fields unless the auditor is qualified and authorized to provide them.
For example, “standing water visible beside drain D-04 in the west service court” is an observation. “Drainage system failed and requires replacement” is a diagnosis and remedy that may need another role. The first statement also needs local time, zone, criterion, and appropriate media to become a useful audit record.
Use an approved set of results:
- meets criterion;
- needs correction;
- monitor or recheck;
- not observed;
- out of current scope; or
- unable to inspect.
Do not turn “not observed” into a pass. Record why the item was inaccessible or not assessed, and route it if the missing inspection matters.
How should photos and videos be attached?
Capture enough context to identify the zone and enough detail to support the observation. Link each file to one or more criterion and issue IDs. Preserve the original capture time and uploader rather than relying on a file name typed later.
GPS and timestamps are supporting metadata, not a verdict. Test what happens when location permission is denied, accuracy is weak, a photo is uploaded from the library, device time is wrong, or media waits offline. The offline field software test provides a disconnect, conflict, reconnect, and recovery protocol for those checks.
How should audit records be scored?
Score record completeness, not landscape quality, from 0 to 3. Keep the actual service result in its own field.

Out-of-scope, not-observed, and unable-to-inspect items are not zeroes. Report them separately. Otherwise, a dashboard can hide missing coverage by averaging it with completed work.
For each property, show at least:
- applicable criteria;
- criteria inspected;
- criteria not observed or inaccessible;
- meets, correction, and monitor counts;
- records at each completeness score;
- open issues by priority and age;
- corrections awaiting verification; and
- enhancement candidates still awaiting a scope decision.
Do not publish a single percentage without those counts and definitions. A score can be mathematically correct while concealing that a whole zone was skipped.
How should findings be routed?
Rank the route by operational consequence, then use the current contract and company procedures to assign the actual response.

Never let the sales route overwrite a correction. If a crew failed to perform included bed care, the remedy is not an enhancement proposal for bed care. Conversely, do not promise an out-of-scope repair while standing on the site. Preserve the observation, check scope, and send it to the authorized owner.
Every status change should retain actor, time, previous state, and note. At
minimum, use new, assigned, in progress, blocked, ready for verification, closed, and not accepted. Reopening should create history,
not erase the earlier closure.
Which permissions should be tested?
Test with the real field role, account-manager role, operations role, sales role, client recipient, and administrator. An administrator demonstration cannot prove least-privilege behavior.

Also test former-user removal, reassignment of open issues, share-link expiry, download access, and whether deleted media remains referenced in a report. Record these controls in the landscaping software stack audit template with the system owner and source-of-truth records.
How should reports and exports be accepted?
A client PDF is a presentation, not necessarily a complete exit export. Test both.
Create a controlled audit with:
- one passing criterion;
- one correction with two media files;
- one not-observed criterion;
- one enhancement candidate linked to a separate record;
- one internal-only note;
- one correction that is resolved, rejected in verification, reopened, and then closed; and
- one field update captured during weak or absent connectivity.
Generate the client report and verify that internal notes, unrelated employee data, hidden properties, and draft findings are absent. Then export the raw records and media.
The export passes only if another authorized reviewer can reconstruct:
- the exact property, zone, criterion version, result, observation, and auditor;
- original media with reliable references and capture metadata;
- issue assignment and complete status history;
- both failed and final verification attempts;
- the enhancement link without changing the source finding;
- client report version and send state; and
- the relationship among all IDs without relying on the vendor interface.
Check whether the product exports machine-readable rows, media files, and link relationships, not just a flattened PDF. PropertyIntel currently documents PDF, PNG, and XLSX export options. SiteRecon documents multiple report types on its opened page, but that page does not establish a complete raw-data and media exit path. Verify current plan gates, formats, field coverage, bulk limits, and retention with each vendor.
What should be asked in a software demo?
Ask the demonstrator to perform these actions instead of answering yes or no:
- Open the assigned checklist as a field user and show its version and source.
- Pin a finding to an exact property zone and attach two pieces of evidence.
- Work with connectivity disabled, reconnect, and show pending and completed states without duplicates.
- Route one correction, reject its first resolution, and preserve the history.
- Create an enhancement from a separate outside-scope finding without changing the audit result.
- Show what a client can and cannot see through a report or shared link.
- Remove the auditor’s access and reassign the open issue.
- Export rows, status history, comments, users, media, and relationships.
- Import or connect the same property twice and show duplicate controls.
- Show the alert and recovery path for a failed integration or media upload.
If route and schedule records are part of the same rollout, use the recurring landscaping route-planning trial to test fixed times, rain changes, crew constraints, and recurrence separately. What is the final acceptance rule?
Adopt the workflow only when a controlled finding can travel from criterion to field evidence, assigned action, resolution, verification, client-safe report, and complete export without losing its source or history. Measure inspection coverage and evidence completeness separately from quality results.
The software should make omissions visible. It should not turn every GPS pin into proof, every photo into a diagnosis, every exception into an upsell, or every polished PDF into a portable record.
